If you're planning an event and have exhibitors, you're probably already familiar with the stress of managing booths and ensuring that exhibitors get the most bang for their buck so that they’re hungry to exhibit at your event year after year. With PheedLoop's new and improved Exhibitor Application System, you can now manage your exhibitors even better by using our brand new First Right of Refusal feature! This is an incredible feature that allows Event Admins to reserve booths to exhibitors for a certain period of time, ensuring that exhibitors retain their preferred spot or booth year over year. Better yet, this is a feature that works hand in hand with our Interactive Maps Module.

What is First Right of Refusal?

First Right of Refusal is a legal right that gives an individual or organization the opportunity to buy something before it is offered for sale to others.

In the context of events, it means that the exhibitor has the right to reserve their current booth location for the next event before it is offered to any other exhibitor.

Benefits of First Right of Refusal

Implementing a First Right of Refusal policy at your event unlocks many benefits to both the event organizers and the exhibitors. Here are some of our favorites:

1. Retain valuable exhibitors: By offering your exhibitors a First Right of Refusal, you are showing them that you value their participation and contribution to your event. This can help to build stronger relationships with your exhibitors and increase their loyalty to your event.

2. Reduce the risk of losing exhibitors: By reserving their booth location for the next event, exhibitors can plan and budget for their participation in advance. This reduces the risk of them pulling out of the event at the last minute or choosing to exhibit at a competing event.

How it works

The Event Admin must associate a booth to an Exhibitor. This can be done by using PheedLoop's native Exhibitor Copy feature or manually associating a booth to an Exhibitor. The Event Admin can then associate a time/date expiration to a booth.

When the Exhibitor Application is opened, no one is able to select a booth that is occupied by an Exhibitor. If an exhibitor does select that booth, an error message will appear indicating that the booth is reserved. Only the Exhibitor associated with the booth will be able to select it. They can also choose to select a different booth as well. Once the time/date expiration comes up, the booth is open to everyone to select and purchase on a first-come, first-serve basis.
